Spreadsheet leave tracker vs dedicated leave software

A Google Sheet titled “Leave 2026” is the default HR system for a lot of Indian companies. It is free, everyone already knows it, and for a five-person team it is honest. The question is when it stops being honest — not when a vendor says you need software.

When the spreadsheet is still fine

  • Fewer than ~8 people, one person who actually owns the file.
  • One leave type, or a simple annual + sick split with no half-days.
  • The same person who approves also runs payroll, so unpaid days never get lost.
  • Nobody is asking for a self-serve balance; they just ping HR.

If that is you, stay on the sheet. Software will cost more attention than it saves.

Where sheets quietly fail

  • Two editors, two truths — someone copies last year’s tab, formulas break, and “days left” is a number nobody trusts.
  • Approvals live in chat — the sheet is updated after the fact, or not at all. There is no audit trail for who said yes.
  • Overlap and holidays — nothing stops two people taking the same Friday, or a request on a 2nd-Saturday off.
  • Unpaid vs paid — a colour in column G is not a payroll input. LOP from unpaid leave gets reconstructed at month-end.
  • Employees cannot see their own balance without opening a file they should not fully see (other people’s salaries sometimes live in the same workbook).

What dedicated software changes

Software does not make the policy nicer. It makes the policy enforceable: the employee applies, the server checks the calendar and balance, the named approver decides, and HR sees the same record payroll will use. Roles stay separate — employees see themselves, managers see their reports, admins see the organisation.

That is the job of leave management software, plus a clear approval path. It is not a reason to buy a full HRIS if you do not need recruitment, performance, or statutory filings.

A practical switch test

Move off the sheet when two or more of these are true:

  • You have more than one approver (managers, not only HR).
  • You run monthly payroll and LOP is a recurring argument.
  • People already ask “how many days do I have left?” every week.
  • Last quarter, an overlap or a holiday request slipped through.
