Leave management software for Indian organisations

Last updated: 16 August 2026

Most Indian organisations with 10–150 people still track leave in a shared spreadsheet, email, or a WhatsApp group. That works until two people book the same week, a manager approves something HR never sees, or payroll has to reconstruct unpaid days from chat history.

Leave management software is the system of record for time off: types, yearly allocations, requests, approvals, holidays, and who is working or on leave today. It is not attendance hardware, and it is not a full HRIS. For many teams, that narrower job is exactly what they need.

What “good” looks like for a small Indian team

When you compare tools, the useful checklist is short:

  • Named leave types — annual, sick, casual, and unpaid, with half-day or short leave where the policy allows it.
  • Yearly balances — allocated days minus paid, approved time off. Not a mystery formula that HR cannot explain.
  • A real approval path — admin only, manager only, or manager then admin — so requests do not stall in someone’s inbox.
  • Organisation holidays and weekly offs — Sundays, optional Saturday-off (none / all / 2nd and 4th), so employees cannot apply on days that are already off.
  • Paid vs unpaid, kept distinct — unpaid approved leave should not eat paid allocation, but it should still be visible when payroll runs loss-of-pay.

Roles that actually match how companies work

Spreadsheets collapse everyone into one editor. Software should split the work: organisation admins set policy and people; managers approve their reports; employees apply and see their own balance. A shared calendar and a today board (working / on leave / off) replace the “who is in today?” ping.

If you are still deciding the approval path, read leave approval workflows for small teams.

How Leafwage approaches this

Leafwage is leave-first software for organisations, with optional monthly payroll. Each company is its own tenant. Admins configure leave types and yearly allocations, employees apply (full day, half day, or short leave), and the server checks balance, overlap, Sundays, holidays, and Saturday-off rules before the request is submitted.

Approvers can approve a request as paid or unpaid. Unpaid approved leave does not consume paid allocation; it does feed LOP when Salary & Payroll is enabled. That is the practical link most spreadsheet setups never get right — see how LOP is calculated from unpaid leave.

Leafwage is not a statutory payroll or filing product. It does not compute EPF, ESI, or TDS, and it does not replace a full HR suite. If you need those, keep the specialist tool and use leave software for the workflow that actually breaks today.

Who this is for

Teams of about 1–10 people can start on Free leave management. Organisations of 11–25 typically need payroll, CSV export, and email alerts on Starter. Larger teams use Growth with per-employee pricing. Access is invite-based: you request access, we create the organisation workspace, and your admin invites managers and employees.

If you are still on Excel, the comparison in spreadsheet leave tracker vs dedicated software is the honest next read.
