Terms of Service

These Terms of Service ("Terms") govern access to and use of Leafwage, a multi-tenant leave and payroll platform for organisations. By requesting access, signing in, or using the service, you agree to these Terms.
1. The service
Leafwage helps organisations manage leave types, balances, requests, approvals, holidays, calendars, and related workspace administration. When the Salary & Payroll module is enabled, it also supports named salary components, monthly payroll runs with loss-of-pay from unpaid leave, join/exit pro-rata, and branded payslip PDFs. It is not a government filing or tax-computation service. Access is invite-based and provisioned per organisation after review.
2. Eligibility and accounts
- You must use accurate information when requesting access or using an account.
- Organisation admins are responsible for inviting users, assigning roles, and managing access within their tenant.
- You are responsible for safeguarding credentials and for activity under your account.
3. Organisation responsibilities
Each customer organisation is responsible for:
- The accuracy of employee, department, manager, leave, salary, and payroll identity data
- Internal approval policies and how leave decisions are made
- Reviewing payroll figures before finalizing a monthly run
- Statutory payroll obligations that apply to them (such as EPF, ESI, or TDS), including any filings outside this service
- Ensuring only authorised people receive invitations and elevated roles
- Complying with employment and workplace laws that apply to their leave and pay practices
4. Acceptable use
You agree not to:
- Attempt to access another organisation's tenant or data
- Interfere with security, authentication, or service availability
- Misuse invitations, impersonate others, or submit abusive access requests
- Use the service for unlawful, harmful, or deceptive purposes
5. Intellectual property
Leafwage, including its software, branding, and documentation, remains our property or that of our licensors. These Terms grant a limited right to use the service for your organisation's internal leave and payroll needs while your access remains active.
6. Customer data
As between the parties, the organisation retains rights in its uploaded and generated workplace data. We process that data to provide and secure the service, as described in our Privacy Policy.
7. Availability and changes
We aim to keep the service reliable, but we do not guarantee uninterrupted availability. Features may change as we improve the product. We may suspend or terminate access for security, abuse, non-payment (if applicable), or material breach of these Terms.
8. Disclaimers
The service is provided on an "as is" and "as available" basis to the fullest extent permitted by law. Leafwage is a software tool and does not provide legal, HR, payroll, or employment advice. Organisations remain responsible for their leave policies, payroll figures, statutory deductions, government filings, and decisions.
9. Limitation of liability
To the fullest extent permitted by law, we are not liable for indirect, incidental, special, consequential, or lost-profit damages, or for leave decisions made by your organisation. Our total liability arising out of the service is limited to the fees paid by your organisation for the service in the twelve months before the claim, or zero if the service was provided without charge.
10. Termination
You may stop using the service at any time. We may suspend or end access if these Terms are violated or if an organisation workspace is deactivated. Provisions that should survive termination (including ownership, disclaimers, and limitations) will continue to apply.
11. Changes to these Terms
We may update these Terms periodically. The "Last updated" date will change when we do. Continued use after an update constitutes acceptance of the revised Terms.
